Technology Purchasing Guidelines

All technology purchases (hardware or software) must be quoted and/or approved by OIT - There may be some instances where OIT may not be able to source a quote for purchase; however, a review of the technology must be conducted and approval must be granted prior to purchasing.

Purchasing Procedure Overview

Once a technology purchase (hardware or software) is reviewed, approved, and quoted by OIT, you should use the quote to create a banner requisition. Once a banner requisition is created, it will funnel into an OIT approval queue (within Banner) to verify what is being purchased. Once OIT approves the requisition, it moves to the procurement department's banner queue to proceed with creating a Purchase Order (PO) and submitting the order with the related vendor and you will be notified that the order has been made. All technology purchases should be made via Purchase Order - though there will be few instances where a P-Card would be necessary to purchase technology, a P-Card should not be the default method for buying hardware or software. If you will be utilizing a P-Card to purchase technology, you must provide OIT approval documentation with supporting documents. Please review the sections below for more details pertaining to hardware and/or software. 

 

Hardware

OIT has a standard technology package made up of fully tested OIT-approved hardware and peripherals. You may use the quote request form to submit a request for any of the pieces of hardware/peripherals that are already approved by OIT; however, if your request includes anything outside of the items in the technology package (including a different model for a laptop, different peripherals, or otherwise) you may still submit a quote request form and OIT will need to review the request - this applies for all technology hardware. Please note, requests for external hard drives or any form of external storage will require require a review of the use case for the external storage. Some items to take into consideration for technology outside of the OIT standard would be how the hardware interacts/connects to the network and the level of IT support required on equipment that isn't standardized. 

 

Software

All available software within the college will be available in Software Center / Software Center for Apple Devices. If you would like to purchase software that is not available in software center, it would have to be reviewed/approved by OIT (this includes mobile apps). If there are terms of service or terms and conditions associated with a piece of software or service and/or if there is a potential privacy policy/implication involved, this will also need to be reviewed by OIT. You can submit a Request an OIT Review of New Software form to have OIT leadership review a piece of software and/or service. Once approved, OIT will coordinate whether a quote can be sourced from one of our existing contracted vendors/re-sellers, or if you may move forward with working directly with a vendor or company to acquire a quote. Some questions to take into consideration for potential new software are:

  • Is there an existing tool at the college that accomplishes the same result?
  • Is the software / service subscription based? How will this be paid on a reoccurring basis? 
  • Will the software need to connect / interact with the network?
  • Is OIT support required for any setup, maintenance, or troubleshooting?
