The Technology Refresh Program within the Office of Information Technology (OIT) is responsible for maintaining consistent and appropriate lifecycle management of College‑owned computers in accordance with Policy 6Hx28:7A‑02 .
This program ensures that computing devices remain secure, supportable, and aligned with College standards while enabling predictable refresh planning.
- Maintain inventory of all College‑owned computers, including location, assigned user, and hardware details
- Use inventory data to prioritize replacement of aging or high‑risk devices
- Oversee procurement, delivery, and installation of replacement computers
- Coordinate reuse, return, or disposal of replaced devices in accordance with College procedures
- Devices purchased using grant funds are not eligible for the Technology Refresh Program
Computer Refresh Cycle
College‑owned computers are scheduled for refresh every four (4) years, beginning with the oldest devices first.
Devices eligible for refresh are typically out of warranty. When a device becomes eligible, the assigned user will be contacted by a Technical Services Specialist, or the user may submit a Refresh Request to confirm eligibility.
Replaced devices must be returned to OIT once the new device has been deployed and data migration is complete.
Important Note
OIT provides and supports one standard device setup per faculty or staff member. Additional or alternate setups are approved only in documented, exceptional scenarios.
