How to Find and Enter a Last Date of Attendance In MyVC



NOTE: There are two places where a Last Date of Attendance can be entered; faculty need only enter the LDA in one place.  Below are instructions on how to determine a student’s Last Date of Attendance and how to enter that Last Date of Attendance using Canvas or the Faculty Grade Entry page (accessible via Faculty Services in MyVC).

Determine the Last Date of Attendance

In a Face-to-Face course, the student’s Last Date of Attendance is the last date the student was physically in the classroom.

In an online course, the Last Date of Attendance can be identified in Canvas.  In Canvas, a withdrawn student is marked as “Inactive” in the Gradebook.  To locate the student, follow these steps:

 

Step 1: Go to the course in Canvas

Step 2: Click on Grades

Step 3: If necessary, expand the Student Name column in the Gradebook.

Step 4: To locate the withdrawn student, hover over the Student Name column header and click on the  

Then select Inactive Enrollments from the dropdown.

 

Step 5: Locate the name of the student, if the student is withdrawn you will see the inactive label next to their name.

 

 

Step 6: Locate and click on the name of the inactive student:

 

 

Step 7: A window will open on the right-hand side of the page; click on the name of the student again:

 

 

Step 8: Locate the Access Report link.

 

 

Step 9: View the Student Access Report menu.  The date in the Last Viewed column correlating with the most recent Content is the official Last Date of Attendance for the student.

Step 1: Go to the course in Canvas

Step 2: Inside the course, click on Grades (located on the left-hand side)

Step 3: Click on the drop-down arrow next to Sync and select Sync to Upload Final Grades

 

Step 4: The Sync Grades window will open:

 

Step 5: Locate the inactive student and check the box next to their name:

 

Step 6: Under the Last Date of Attendance, enter the date retrieved in Step 7 under Determine the Last Date of Attendance section.  

 

Step 7: Review the check mark, grade and date.  Scroll down and click on Submit Grades to Banner.

 

 

 

 

 Option 2: Enter Last Date of Attendance in MyVC (via Faculty Services Menu)

Step 1: Log In to your MyVC Account.

Step 2: Use the search box at the top of the page to type “Faculty Services” next to the magnifying glass.  Then click on the “Faculty Self-Service” when it populates below your search.   (If it doesn't appear as you type, click Enter on your keyboard after typing Faculty Services in the search box.) 

 

 

Step 3: Click on Final/Midterm Grades and you will be directed to the Faculty Grade Entry page:

Step 4: The page should default to Final Grades; if it does not, click on the Final Grades tab.  Locate the course you need and click on the CRN for the course:

 

 

Grading Status Icons:    

No Grades have been entered for students in the course.  You may enter the Last Date of Attendance.

Some Grades have been entered for students in the course.   You may enter the Last Date of Attendance.

All Grades have been entered for students in the course.   You may enter the Last Date of Attendance.

 

Step 5: The list of students who are registered in the course will appear at the bottom:

 

Step 6: Locate the student for whom a Last Date of Attendance must be entered; you should see Not Gradable in the Final Grade column:

 

Step 7: Click on the  icon to the right of the blank Last Attend Date box for the student to open the calendar window:

 

 

Step 8: Select the Last Date of Attendance for the student. Scroll to the bottom of the page and click .

 

Step 9: You should receive a  message on the upper right of the page.
